Invoicing
Turn delivered loads into professional invoices. Generate PDFs with your letterhead, attach supporting documents, send by email, and track payment status.
Quick Start
- Open a completed load
- Scroll to the Invoice section
- Tap Create Invoice
- Review details, select attachments
- Tap Create Invoice
- Tap Send Email or Download PDF
That’s the basic flow. Read on for the details.

The Workflow
Step 1: Complete Your Load
Before invoicing, make sure your load has:
- Accurate rate and charges
- Delivery completed
- Documentation attached (rate con, BOL, POD) — optional but professional
Step 2: Create the Invoice
From the load screen, tap Create Invoice. You’ll see:
| Field | Description |
|---|---|
| Invoice Number | Auto-generated or custom |
| Recipient Email | Pre-fills from client; editable |
| Due Date | Optional payment due date |
| Notes | Appears on invoice (e.g., “Net 30. Thank you!”) |
| Attachments | Select docs to merge into the PDF |
Step 3: Select Attachments
The attachments section shows all documents from the load:
- Rate Confirmation
- Bills of Lading (from pickup stops)
- Proofs of Delivery (from dropoff stops)
Check the boxes for documents you want included. They’ll be merged into a single PDF — invoice first, then attachments in the order you arrange them.
Drag to reorder: Want the POD before the BOL? Drag the handles to arrange attachments in your preferred order.
Step 4: Generate
Tap Create Invoice. METRUKS generates a professional PDF with:
- Your business letterhead (logo, name, address, MC#, DOT#)
- Bill-to information (client name and address)
- Load details (confirmation #, dates, origin → destination)
- Line items (rate, additional charges)
- Total amount
- Your notes
- Attachment list (if any selected)
The PDF is stored in the cloud — you can always download it later.
Step 5: Deliver
Two options:
Send Email
- Tap Send Email
- Client receives the PDF attached to a professional email
- Email comes from invoices@metruks.com with your business as the reply-to
Download PDF
- Tap Download PDF
- Save to your device
- Deliver however you prefer (your email, fax, mail)
Email Requirements
To send invoices by email, you need two email addresses:
Your Business Email
- Set in Business Profile (avatar → Business Profile)
- Becomes the reply-to address so clients can respond to you
- Required before you can send
First time sending? METRUKS prompts you to add your business email right on the invoice screen. You don’t need to leave and come back.
Client Email
- Set on the client record, or enter directly on the invoice
- This is where the invoice is delivered
- Pre-fills from the client if they have an email on file
No client email? You’ll see a message explaining you need to add one. Tap Edit, add the email, tap Update Invoice, then send.
Invoice Status
Track where each invoice stands.
Status Icons (on Load List)
| Icon | Color | Meaning |
|---|---|---|
| Receipt | Gray | Invoice created, not sent |
| Paper plane | Purple | Email sent |
| Envelope with check | Blue | Email delivered to inbox |
| Paid badge | Green | Marked as paid |
| Warning triangle | Red | Email bounced (bad address?) |
Status Card (on Invoice Screen)
When viewing an invoice, the status card shows:
- Current delivery status
- Send count and last sent date
- Paid/Unpaid toggle
Marking Paid
Toggle the Paid switch when payment arrives. This updates:
- The status icon on the load list
- Filtering (paid vs. unpaid loads)
- Reports
Editing and Regenerating
Invoices are point-in-time snapshots. If you need to make changes:
Editing an Invoice
- Open the invoice
- Tap Edit
- Make changes (number, email, notes, attachments)
- Tap Update Invoice
A new PDF is generated. The old version is replaced.
Editing the Load After Invoicing
- Open the load
- Make changes (rate, charges, etc.)
- Save the load
- Open the invoice and tap Edit → Update Invoice
The invoice regenerates with the new load data.
Already sent? METRUKS warns you that “Previously sent emails and downloaded PDFs won’t reflect your changes.” The recipient has the old version — you may want to resend.
Resending
Need to send again? Maybe they didn’t get it, or you updated something.
- Open the invoice
- Tap Send Email
- Confirm the resend
METRUKS tracks send count and shows how many times an invoice has been sent.
Maximum Sends
You can send the same invoice version up to 5 times. After that:
- Download the PDF and deliver manually
- Or edit the invoice (creates a new version) and send again
This prevents accidental spam and keeps email deliverability healthy.
Bounced Emails
If an email bounces (usually a bad address):
- The status shows a red warning icon
- The invoice screen shows “Email couldn’t be delivered”
- Help text: “Usually a bad email address. Correct it below and resend.”
To fix:
- Tap Edit
- Correct the recipient email
- Tap Update Invoice
- Tap Send Email
Invoice Filters on Load List
Find invoiced and paid loads quickly.
Invoice Status Filter
- All — Show all loads
- Has Invoice — Only loads with invoices
- No Invoice — Only loads without invoices
Payment Status Filter
- All — Show all
- Paid — Only paid invoices
- Unpaid — Only unpaid invoices
Combine these to find, say, “invoiced but not paid” loads.
What Appears on the Invoice
Letterhead (from Business Profile)
Your invoice letterhead is populated from your Business Profile (avatar → Business Profile). Whatever you’ve filled in there appears on every invoice:
- Logo (if uploaded)
- Business name
- Owner name
- Address
- Phone and email
- MC# and DOT#
Tip: Set up your Business Profile before creating your first invoice. If you update it later, new invoices will use the updated info, but already-generated invoices keep their original data.
Invoice Details
- Invoice number
- Due date (if set)
Bill To (from Client)
Client info comes from the client record associated with the load:
- Client name
- Client address (if entered on the client)
Load Details
- Confirmation number
- Load date and delivery date
- Origin → Destination (from stops)
- Commodity description
Line Items
- Line haul (your rate × miles or flat)
- Each additional charge with amounts
- Per-mile charges show the calculation
Footer
- Notes (if entered)
- Attachment list (if attachments selected)
Deleting an Invoice
Need to remove an invoice?
- Open the invoice
- Tap the trash icon in the top right
- Confirm deletion
The load returns to “No Invoice” status. You can create a new invoice anytime.
Note: You must delete the invoice before you can delete the load.
Tips
- Set up Business Profile first — Your invoices look better with logo and complete info
- Add client emails early — One-tap sending vs. typing addresses
- Attach your docs — Rate con + BOL + POD in one professional PDF
- Check status icons — Quick visual of what’s been sent and paid
- Use filters — Find unpaid invoices fast at month-end
- Mark paid promptly — Keeps your reporting accurate
